These are your fixed monthly expenses that exist regardless of how many products you sell. Add up ALL your recurring costs.
๐ Facility Costs
Include: Warehouse space, storage units, office rent, or your home office allocation if you work from home
Include: Electricity, water, gas, heating/AC, trash service
Include: Business internet, phone lines, mobile business phone
๐ก๏ธ Insurance & Legal
Include: Business liability insurance, product liability, property insurance, workers comp (if applicable)
Include: Monthly bookkeeping, quarterly accounting, annual tax prep (divide annual cost by 12), trademark fees
Example: $3,600/year for accounting = $300/month
Include: Annual business license, health permits, sales tax permits (divide annual by 12)
๐ฅ๏ธ Non-Shopify Software & Tools
Include: QuickBooks/accounting software, Google Workspace/email, design tools (Canva Pro, Adobe), project management (Asana, Trello), inventory management software, Zoom/meetings
DO NOT include: Shopify, Klaviyo, SMS, or any Shopify apps (those go in Platform Costs below)
Include: Equipment leases, printer/copier rental, equipment maintenance, computer/tech purchases (amortized)
Example: $1,200 computer that lasts 2 years = $50/month
Include: Printer paper, pens, cleaning supplies, coffee/snacks for team, miscellaneous expenses
๐ฐ Bank & Merchant Fees
Include: Business checking fees, wire transfer fees, chargeback fees (average monthly), ACH fees
Standard: $0.30 per transaction for Shopify Payments, PayPal, Stripe
Standard: 2.9% for most credit card processors
๐ฅ Labor Costs
All people costs including employees, contractors, and your own salary. Calculate total monthly spend across all labor.
๐ญ Production & Warehouse Labor
Calculate: Hours spent making products ร hourly rate ร 4.3 weeks
Example: 1 employee at $15/hr working 40 hrs/week = $15 ร 40 ร 4.3 = $2,580/month
Include: Mixing, filling, labeling, quality control, batch testing
Calculate: Time spent packing orders, printing labels, scheduling pickups
Example: 20 hours/week at $15/hr = $15 ร 20 ร 4.3 = $1,290/month
Include: Answering emails/messages, processing returns, managing orders, social media responses
๐ผ Contractor & Management Costs
Include: Social media manager, ads manager, email marketer, influencer manager
DO NOT include: Ad spend itself (that goes in Marketing section below)
Include: Photographers, videographers, graphic designers, UGC creators, content creators
IMPORTANT: You MUST pay yourself. Include what you need to live on monthly. Your time has value.
๐ Platform & E-Commerce Subscriptions
All e-commerce platform fees and Shopify apps. Enter TOTAL monthly spend, not per-order costs.
Standard plans: Basic ($39), Shopify ($105), Advanced ($399), Plus ($2,000+)
Your actual monthly Klaviyo bill
Total monthly SMS platform costs
Add up: Review apps (Judge.me), subscription apps, loyalty programs (Smile.io), popup apps, upsell apps, etc.
๐ฆ Per-Order Fulfillment Costs
Costs that happen with every order you ship. Enter average cost per order.
Include: Mailer boxes or poly mailers, bubble wrap, packing tape, branded tissue paper, thank you cards, stickers, branded shopping bags (like Nookie bags)
Example: $0.80 mailer + $0.40 tissue + $0.30 thank you card + $0.50 tape/wrap = $2.00 total
Calculate: Look at last month's shipping costs รท number of orders
Example: Spent $2,100 on USPS last month รท 300 orders = $7.00 average
Industry average: 2-5% of orders result in returns, damages, or replacements. Be conservative and use 3-5%.
๐ Marketing & Customer Acquisition
Your paid advertising spend and results. This calculates your true Cost Per Acquisition (CAC).
Include: Facebook/Instagram ads, Google ads, TikTok ads, Pinterest ads - ALL paid advertising
DO NOT include: Contractor fees for managing ads (that's in Labor above)
Check Shopify: Look at "First-time customers" or "New customer orders" in your analytics for last month
Total orders including both new AND returning customers last month
